Content Calendar Mastery: How to Create One That Actually Works
Hello from NYC! I’m in the middle of trip two of three of my every-other-week work trip sprint, and although I’m very tired, it has been an amazing few weeks packed with meetings and events! I thought for part of this newsletter I’d occasionally spotlight some of the industry events I’ve attended and creators I’ve met.
Creator Economy Live: Last week, I spent the week in Las Vegas on behalf of Goodknight Operations and Creator Match for Creator Economy Live. The event brought together some of the biggest brands and marketers to talk about all things creator economy. From meeting the online voice of Elmo to getting to spend quality IRL time with several of my Creator Match clients, I’d call this event money well spent! My only flag for room for improvement is I hope to see more creators there next year!

Powell: They say don’t meet your heroes in person because they never live up to the hype, but I’ve been fangirling over Jayde Powell for a while now, and let me tell you, she is exactly the same person in person as she is online! (that’s fabulous in case you don’t already follow her) Jayde invited me to a private dinner sponsored by her brand #CreatorTeaTalk and Sprout Social. I’m a few hours deep into content planning and recapping all the excitement of these past weeks, so it felt like the perfect time to share more about content planning and calendars!
If you’ve ever sat down to plan content for the week—only to feel overwhelmed, fall behind, or abandon the calendar altogether—you’re not alone.

Most content calendars fail because they’re built with good intentions but poor execution. They’re either:
❌ Overcomplicated and hard to maintain
❌ Too rigid, leaving no room for creativity or trends
❌ Unrealistic, requiring more content than you can consistently produce
So, how do you create a content calendar that actually helps rather than hinders you?
Step 1: Reverse-Engineer Your Goals
Before you even open a spreadsheet or planning tool, ask yourself: What is the purpose of my content?
• Grow an audience? Prioritize high-value, shareable content.
• Build authority? Focus on deep-dive articles, case studies, and educational posts.
• Drive conversions? Create a mix of nurturing content (value-driven) and promotional content (offers, testimonials).
Your content should always serve a bigger purpose, not just fill a calendar.
Step 2: Establish Your Content Pillars
Instead of starting from scratch every time, create 3-5 core content themes (a.k.a. content pillars) that align with your niche.
For example, if you’re a creator in the marketing space, your pillars might be:
• Strategy & Planning (How-to’s, frameworks, case studies)
• Execution & Tools (Tutorials, tech stacks, workflows)
• Industry Trends (Commentary, hot takes, trend breakdowns)
• Behind the Scenes (Your process, personal lessons, audience Q&A)
• Offers & Promotions (Your product, service, or affiliate recommendations)
Every piece of content you create should fit into one of these pillars, making planning way easier.
Productivity Tip: Batch your content in advance to avoid last-minute stress and ensure consistent quality. Use scheduling tools like Notion for planning, Buffer for social media, & Beehiiv for newsletters to stay ahead and free up time for other tasks.
Step 3: Create a Realistic Posting Schedule
One of the biggest reasons content calendars fail? Unrealistic expectations.

It’s easy to commit to daily posts, but can you maintain that long-term? Instead, ask:
• How much time do I realistically have?
• What platforms matter most to me?
• What’s the minimum amount of content I can create and still stay consistent?
Here’s a simple low-maintenance content schedule you can start with:
📌 2 long-form posts per week (blog, newsletter, YouTube video, LinkedIn post)
📌 3-4 short-form pieces (Twitter threads, Instagram posts, TikToks, etc.)
📌 1 engagement-driven post (polls, Q&A, community-building content)
This ensures quality > quantity, while still keeping you visible.
I highly recommend focusing heavily on one to two platforms to start and cross-post where it makes sense.
Step 4: Build in Flexibility
No matter how well you plan, unexpected trends, inspiration, or breaking news will pop up. If your calendar is too rigid, you’ll either:
1️⃣ Struggle to keep up when things change
2️⃣ Feel boxed in and lose motivation
A good rule of thumb:
✅ 70% planned content (Evergreen, structured, aligned with your goals)
✅ 30% spontaneous content (Timely trends, personal insights, reactive content)
This balance gives you structure without killing creativity.
Step 5: Systemize & Automate
To actually stick to your content calendar, you need systems.
Here are some tools to streamline the process:
• Google Sheets – Sometimes basic is best
• Notion – Perfect for flexible planning and tracking ideas
• Trello – A visual, drag-and-drop content workflow
• Airtable – Best for tracking content performance over time
• Later / Buffer – Social media scheduling to free up your time
If you’re constantly scrambling to create content on the same day it needs to go out, you need better planning. These tools can help you stay ahead.
Partnership Tip: Brands want consistency. If you’re looking to land sponsorships, show potential partners that you post regularly and engage with your audience. A reliable content schedule makes it easier for brands to see the value in working with you.
